Come to think of it, we have managed to do a lot of things during these days, including papers and panels at the 2nd Nordic Baltic, various events at the Inter-network 5thD workshop, and our own final project meeting... Our immediate goal now is to compile a project report for the Nordic Council of Ministers. Let me kindly remind you that according to our decision made in Ronneby, by the 10th of OCTOBER I expect from you the following materials: 1. From each site: (a) A summary of your 5thD activities during the period of the project (Fall 1999 -- Fall 2001). 3-5 pages (b) Your reflections on the project: was it useful to you to participate in the nn5d, what (if anything) it gave to you, etc. (1-3 pages) 2. From persons responsible for new project applications: The materials you have now that reflect the latest phase of you work on the application (it can be an outline of research questions and problems, an abstract of the background, a draft application, or a final version, etc). I am leaving for Moscow next week and the whole report should be finished in the next several days. Late submissions will result in a missed deadline for the project report as a whole (i.e., a disaster, to put it simple :)). Once again, what I need from you are three things. * * 1.** A letter with you reflections on your participation in the project (1-3 pages). This is the most important appendix to the report. It will (hopefully) show to the Nordic Council of Ministers that participation in the project was of benefit to participating institutions. Second, concerning the Nordic Baltic conference fee (SEK 1000). Back in August I asked Western participants to find a way to cover the conference fee from other sources and let me know if it presents a problem (see below). Only two people contacted me, Anne and Susan. The fee was waived for Russian participants thanks to courtesy of the Conference. All the other participants (except Arkhangelsk, Petrozavodsk, Anne, and Susan), please make sure you have paid the conference fee yourself if you have not done that before! With this plan we did not take into account the 5thD workshop that took place immediately after the Nordic-Baltic conference, on Sep 10-11. It was then proposed that we should meet first in Ronneby from Sep 7 until Sep 11, taking part in the Nordic- Baltic conference and the 5thD workshop, and then in the afternoon take a train to Copenhagen, and have a grand finale of the project there from Sep 12 to Sep 14. We had a financial problem in that we did not get the money back from the Barents Business Center (Brynolf Persson) for the cancelled travel to Archangelsk last spring. We are still working with this problem. This has contributed to the cancellation of the Copenhagen visit, re- booking of hotels in Ronneby and to the fact that the project the conferencve fee could not be covered for all participants. I have summarized this information from the e-messages by Victor Kaptelinin. Since I did not take part in the Vilnius meeting, I am not able to answer the question about the four themes but I think there is someone else who can give an answer. Therefore, we are not missing any deadlines! Please, let me know your regular postal addresses that I can use to send you each a copy of the report. Also, "please allow 4-6 weeks for delivery" (as they say) since I am leaving tomorrow and will be travelling in the next three weeks. The copies will be forwarded to you as soon as I am back. It may not be the end of story, though, because the Swedish Institute (our contact in dealing with the Nordi Council of Ministers) is likely to send us questionnaires /evaluation forms (probably extensive) to fill in. But this may happen some time from now, according to my prior experience. A company failed to keep its promise to return the money it is owing to the project after a planned project meeting in Arkhangelsk was cancelled due to a cancellation of an Aeroflot flight. To fit into the budget we had to save money, which we did, mainly by having our discussions in Ronneby instead of Copenhagen and switching to a cheaper accommodation. That was the only change. In Vilnius we divided ourselves into groups according to several possible themes for future project proposals. It is the groups, who are responsible for working (or not working...) on the proposals. I was not aware of that useful and thorough summary when sending my previous email. Thank you very much, Kenneth, for pointing out that in August, when we were invited to the 5d workshop, the visit to Copenhagen, initially planned to take place before the 2nd NB conference, was, according to a suggestion from Ronneby, re-scheduled to take place after the conference! Sorry I did not mention it... Concerning the conference fee being covered for Western participants only as an exception (needed to be specially negotiated in advance), it was announced when our financial situation still looked great. It had to do with regulations related to funding of the project and this policy did not change (while it became even more important to follow when the situation got worse).
